How to Use the Time Card Calculator

  1. Check the box for each day worked. Unchecked days are excluded from totals. By default, Monday through Friday are enabled. Check Saturday or Sunday for weekend shifts.
  2. Enter your start and end times for each day using the hour, minute, and AM/PM fields. A standard 9 AM to 5 PM shift is already filled in as a starting point.
  3. Enter break time in minutes. This is subtracted from gross hours to give net working hours. A 30-minute unpaid lunch break is the default. Set to 0 if all breaks are paid.
  4. Enter your hourly rate to calculate gross pay. The calculator applies the overtime multiplier (default 1.5x) to any hours over 40 for the week. Adjust the multiplier if your employer uses a different rate such as 2x for holidays.

Example: Monday through Friday, 8 AM to 4:30 PM with a 30-minute break = 8 net hours per day, 40 hours for the week. At $22/hour, gross pay = $880 with no overtime.

Time Card and Overtime Formulas

Net hours per day = (Clock out - Clock in) - Break minutes

Regular pay = min(total hours, 40) × hourly rate
Overtime pay = max(0, total hours - 40) × hourly rate × OT multiplier
Gross pay = Regular pay + Overtime pay

Example: 44 hours at $20/hr with 1.5x OT
Regular = 40 × $20 = $800
Overtime = 4 × $20 × 1.5 = $120
Gross = $800 + $120 = $920

Frequently Asked Questions

This calculator uses the federal Fair Labor Standards Act standard: hours over 40 in a workweek are overtime at 1.5x the regular rate. Some states (California, Colorado, Nevada) also require daily overtime after 8 hours in a single day. This calculator does not apply daily overtime automatically. Check your state labor laws if you work in a state with daily overtime rules.
